WORKDAY HR 101 COURSES AVAILABLE ON CANVAS

On November 2nd 2020, UBC goes live with Workday. Everyone at Building Operations will be using Workday for everyday tasks such as; requesting vacation and other absences, checking vacation and sick time balances, checking paystubs, submitting expenses, updating personal information and benefits information

In preparation for Workday go-live, we strongly encourage you to familiarize yourself with the new Workday processes coming our way by taking the Workday HR 101 course, now available on Canvas. Workday HR 101 includes the following learning outcomes:

  • Get Started Using Workday: An overview of Workday for salaried or hourly staff and identifies some of the key changes coming with Workday
  • Managing Personal Information: Viewing and changing personal information, updating emergency contacts and other details, view pay slips, T4s & PD fund balances, viewing and updating tax elections, payment elections
  • Entering Absences: Requesting time off (short term absence, vacations, sick leave), requesting a leave of absence (long term), viewing absence balance, viewing team absence
  • Understanding Benefits in Workday: Viewing and changing benefits, viewing and changing your dependents and beneficiaries
  • Practicing in the Sandbox: Hands-on experience in Workday and trying out the features learned about

*Note – there are two courses available. One is for salaried employees and the other is for hourly employees, please be sure to take the correct course that is applicable to you

 


PLANON TRAINING

Planon training is coming this Fall! If you’ll be using Planon as part of your work starting November 2nd  , you’ll be invited to multiple training sessions to get hands-on experience with Planon before Go-Live. Heads, subheads, and technicians will learn in a cohort model, and other Planon users, like Service Centre and Stores, will learn as a team.

All training aside from technician training will be virtual and instructor-led. Training sessions are planned for September 21st – October 30th. Technician training will be conducted in-person, with small cohorts and physical distancing protocols in place. Online “Planon 101” courses will be available on Canvas WPL for both Planon Mobile and Planon Web Client. For more information about Planon and the Enterprise Maintenance Management System (EMMS) visit our website! http://emms.ubc.ca/


COVID-19 PROCEDURE FOR CONDUCTING WORK OUTSIDE YOUR BUILDING OF PRIMARY OCCUPANCY

Safety & Risk Services recently finalized a safe work procedure to outline the measures that will be followed by workers who are required to enter different UBC buildings to carry out their tasks. This procedure is intended to prevent the risk of COVID-19 infection.

Before Commencing Work within a UBC Building, workers will:

  1. Assess themselves daily forCOVID-19 symptomsand stay home if they are experiencing symptoms or taking care of someone with symptoms.
  2. Wash their hands with soap and water for at least 20 seconds. When a sink is not available, 60-90% alcohol-based hand sanitizer will be used and rubbed on hands for 20-30 seconds until dry. This will be carried out:Upon arriving to work
  • Upon arrival to another building
  • When moving between site types where there is an identified risk of cross contamination, such as moving between labs and kitchens, or between bathrooms and offices
  • Before and after handling shared tools and equipment
  • Before and after using Personal Protective Equipment
  • Before and after going on a break
  • After using the washroom
  • After sneezing or coughingoNote: If workers sneeze or cough, they will cover their mouth and nose with a disposable issue or the crease of their elbow and then wash their hands
  • When hands are visibly dirty
  • Before and after food preparation or eating
  • After handling items that have come into contact with the public
  1. Decontaminate their equipment with an approved disinfectant
  2. Adhere to theUBC Employees COVID-19 Use of Share UBC Vehiclesguidance document when travelling via shared UBC vehicles.

Other key information to follow:

  • When entering the Dentistry Clinic, Chan Gunn or Strangway Clinic we are required to wear the masks supplied by the respective clinic or your approved PPE.
  • When entering the First Nations Longhouse we are required to wear a face shield. A notice to this effect has been posted on the exterior door.
  • You are not required to sign in or out of building COVID logs.
  • If required, all staff are required to ensure that their time is charged to the correct account on their timesheet which we will use to perform contact tracing for possible exposure to COVID.
  • Anyone entering a UBC building –is expected do their best to follow the traffic flow procedures posted within that building and maximum capacities posted, understanding that in some cases unfamiliarity may result in unintended non-compliance.
  • All personnel must carry their UBC Card at all times. Only those individuals with authorization should be on site.

SHCS TALL WOOD MOVE-IN SATURDAY SEPT 5

Student Housing and Community Services has scheduled mass move-ins at Tall Wood residence on Saturday, September 5. Please do not park Building Operations vehicles in the laybys on Walter Gage Road across from the tower. Thank you.


INSTALLATION OF RETURN TO CAMPUS SIGNAGE

Return to campus signage will be installed this week on campus and should be complete in the next few days. Below is a map where all the signs are going to be installed. Blue represents an A-Frame sign affixed to an existing piece of infrastructure and Yellow represents an outdoor grade decal.


WEEKLY TIP: HELP/OK SIGNS

In case of a disaster, it is important to let people know if you are ok or not. Place one of these two signs in your window to alert authorities and neighbors of your status.
