SIGNING INTO CANVAS

Signing into Canvas is mandatory – please ensure you take the time to sign up as soon as possible if you have not done so already.  We also have an upcoming mandatory SRS COVID-19 course that all staff will need to take, this course will be delivered via Canvas and all staff will need to be signed in to take the course. 

Managers are receiving completion reports and will be following up with all staff that have not yet signed into Canvas.

This week we have:

  • 235 employees NOT signed in
  • 511 employees signed in

Signing up for Canvas is easy and takes ten minutes to do

Canvas is UBC’s Learning Management System. This is a new platform which holds all of UBC’s mandatory and elective courses. When you complete training on Canvas, it is tracked for you.

Canvas will be integrated with Workday so that all your UBC training, including safety training, is tracked in one place. You will be able to check yourself to ensure that all your training is up to date.

All UBC staff members must log into Canvas at least once so that training administrators can add you to courses in future.

*You must use the link provided below to sign-in, please do not simply google Canvas, as this will default you to the incorrect link. 

*You will need to use multi-factor authentication (MFA) to sign into Canvas. If you use a token for MFA, please be sure to bring your token home with you

COVID-19, IRP, ISC, RPA… our work at UBC is rapidly shifting. Some ways we can see now, like distributed teams working from many locations, and some we can only imagine, like new automated processes. The VPFO is working with UBC Human Resources to pilot a pulse survey with you on the future of work. This survey focuses on gathering your thoughts about remote and flexible approaches to work. Watch your UBC email box for your personal invitation to reply.


COVID-19 STANDARDIZED SIGNAGE

Communication has provided standardized signage to support recommended physical distancing protocols and help keep the UBC community safe.

UBC RECOGNIZED AS ONE OF CANADA’S GREENEST EMPLOYERS IN 2020

For the ninth consecutive year, UBC is recognized as one of Canada’s Greenest Employers in 2020.

This special award recognizes Canadian employers that lead the nation in creating a culture of environmental awareness, develop exceptional earth-friendly initiatives, and – because of their environmental leadership – are attracting employees.

Some of the reasons why UBC is being recognized with this award include:

  • UBC boasts a number of green firsts, including being the first Canadian university to adopt a sustainable development policy (and first to sign the International Sustainable Campus Charter), the first to open a formal campus sustainability office, and the first to receive the Gold rating in the Sustainability Tracking, Assessment and Rating (STARS) system, which is an accepted comprehensive university sustainability rating system.
  • UBC’s recently updated Climate Action Plan, first established in 2010, commits the university to reduce its greenhouse gas emissions 67% by 2020 and 100% by 2050 (over a 2007 baseline year) — impressively, the Vancouver campus has already reduced its greenhouse gas emissions by over one-third, relative to the 2007 baseline year, which is even more impressive when noting the 19% increase in floor space at the campus.
  • UBC adopted the LEED Gold certification standard for all new construction and major renovations of institutional buildings, with 26 registered and certified buildings – the most for any Canadian university. With over 400 buildings, UBC also manages an ongoing Building Tune-Up Program as well as a longstanding building retrofit program, ongoing since 1998.

FIRE DRILLS ARE ON HOLD FOR THE REMAINDER OF THE YEAR

Fire Drills:

Please note that all fire drills for this year are on hold. If the fire alarm rings, please take it seriously and proceed to vacate the building in a fast and organized manner.

Note: Physical distancing is not required during an emergency evacuation. The primary goal in an emergency shall always be to evacuate the building expeditiously and meet at a predesignated safe location outside the building.

*Floor Wardens: For any wardens that have not yet completed the SRS Floor Warden Training Course, please click here to complete.

Building Emergency Response Plan:

An amendment has been created to the BERP to outline additional responsibilities for building emergency directors, floor wardens and building occupants during COVID-19 times. Amendment can be located here: https://ready.ubc.ca/get-informed/emergency-plans/

ROAD CLOSURE UPDATE: JUNE 2020

The Arts Student Centre will be getting underway at the northeast corner of Walter Gage Road and East Mall. Key changes as a result of this construction project include:

  • East Mall will be closed to traffic between Crescent Road and Walter Gage Road, but Emergency, Service, and Delivery vehicles will be accommodated through the Buchanan Parking Meter Lot. Work will be done along the detour route to accommodate emergency vehicles and large truck deliveries to Volkoff Lane and other buildings serviced off East Mall.
  • Over half of the existing parking lot south of Allard Hall will be permanently closed.
  • The parking in the Buchanan Meters Lot will be temporarily closed.
  • The sidewalks around the site will be closed, pedestrians will be detoured to the opposite sides of the street or nearby as shown in the attached plan.

Other work ongoing includes:

  • Wesbrook Mall Redesign – paving work has been delayed due to weather, but the project is moving along well with work progressing into the southbound lanes on Wesbrook Mall. Bus stops northbound on Wesbrook Mall will be reopened as soon as the paving work is complete, hopefully by next week.
  • Pacific Residence – ongoing with a majority of the work within the site.
  • Site D and MacInnes Field – are nearly complete with finishing touches taking place at the commercial units in the Focal (Site D) building.


NEW PROCEDURE I-A-PR14 – ELECTRICAL ROOM ACCESS CONTROL

New Procedure: Electrical Room Access Control, I-A-PR14

1.0 Background

Electrical service areas contain potentially hazardous conditions. To ensure safety in and around those areas, access to all electrical service rooms shall be controlled and limited to those that are qualified and authorized only ‐ mostly electrical workers. This procedure complies with Mechanical and Electrical Service Areas Access policy I‐B‐45 managed by Safety & Risk Services (SRS) and replaces section 4.2 Access Control within policy I‐B‐45 and provides a procedure to ensure personnel requesting access are qualified to access electrical rooms and aware of the risks.

2.0 Objective

The objective of this policy is to ensure the safety and well‐being of workers and others who require access to electrical service areas.

3.0 Procedure:

Unauthorized personnel shall not be permitted access to electrical service areas without direct supervision by an authorized person. If you require infrequent or periodic access, please contact your UBC Building Operations Facility Manager. If required, a service request can be submitted for a Building Operations electrical worker to escort in the space. If you require frequent access and are qualified, please visit the UBC Key Access Information System to submit a key request.

A reminder that the LBS fileserver will be decommissioned as of June 30th and files on this server will no longer be accessible.

Please copy your important files to the new shared drive prior to June 30th to avoid losing any important information.

LOCKING AND UNLOCKING USB GATES

As SOS is starting their afternoon shift on Wednesday, June 17, the SOS crew will be responsible for the locking and unlocking of the USB yard gates in accordance to the below times each day:

  • SOS will unlock the gates at 6:30am
  • SOS will lock the gates at 9:30pm

WEEKLY EMERGENCY TIP: KEEP YOUR VEHICLE FUELED

TIP: Always keep the gas tank of your vehicle at least half full. During a disaster, gas stations may not be working for days.
