Building Operations Weekly

BUILDING OPERATIONS PHASE 2 RESUMPTION PLAN

Conversations with CUPE 116 and IUOE 115 regarding our phase 2 resumption plan have been ongoing and productive. We are happy to announce that we have come to a mutual agreement with CUPE 116 regarding the necessary steps for a safe, smooth and quick transition into our resumption plan, which will bring many of our staff back to campus on a more consistent basis. The current plan is forecasted to be in place until the end of the summer at which point further discussions with the Unions will take place.

Understanding that the campus needs have increased quickly, CUPE 116 has agreed not to enforce the 30-day notice requirement on a without prejudice basis for schedule changes where employees move from one shift to another and the current terms from phase 1 of the resumption plan will continue. Discussion continue with IUOE 115 and will be shared with you. In the meantime there is no change to the way we have been currently operating.

Thank you to all of the Heads, Supervisors and Managers for creating these plans and working with your teams throughout the implementation process. We know that everyone did their best to balance the needs of the university with the needs of their staff, and we are happy that we were able to quickly agree on the terms of the new schedule as a team.

SIGNING INTO CANVAS AND THE STAFF ENGAGEMENT PLAN

Signing into Canvas is mandatory – please ensure you take the time to sign up as soon as possible if you have not done so already.  We also have an upcoming mandatory SRS COVID-19 course that all staff will need to take, this course will be delivered via Canvas and all staff will need to be signed in to take the course.

Managers are receiving completion reports and will be following up with all staff that have not yet signed into Canvas.

This week we have:

  • 332 employees NOT signed in
  • 429 employees signed in

Signing up for Canvas is easy and takes ten minutes to do

Canvas is UBC’s Learning Management System. This is a new platform which holds all of UBC’s mandatory and elective courses. When you complete training on Canvas, it is tracked for you.

Canvas will be integrated with Workday so that all your UBC training, including safety training, is tracked in one place. You will be able to check yourself to ensure that all your training is up to date.

All UBC staff members must log into Canvas at least once so that training administrators can add you to courses in future.

*You must use the link provided below to sign-in, please do not simply google Canvas, as this will default you to the incorrect link.

*You will need to use multi-factor authentication to sign into Canvas. If you use a token for MFA, please be sure to bring your token home with you

Go to https://login.cpe.ubc.ca/ and Login with your CWL and password (full instructions included in the how to guide provided by your Head/Manager)

**Your manager will also be in touch with you regarding the other staff engagement goals that are relevant for your teams.  If your manager informs you know that you need to complete any of the following goals, it is mandatory for you to complete them. “How To” manuals have been distributed to support you with goal completion and the training room has been set-up with workstations that can be booked for staff that require access to a computer.

Goal 4: Privacy Matters 1 & 2 and Safety Supervision courses

Goal 5: Driver Training

Goal 6: Arc Flash Electrical Training for Non-Electrical

TEF 4 & BROCK COMMONS PHASE II ON HOLD

The Brock Commons Phase 2 mixed-use student housing project, which had been scheduled to start construction this summer, has been put on hold due to uncertainties related to the COVID-19 pandemic.

This is a prudent decision at this time given the significant capital investment required for this  project. Construction will not start until there is better economic certainty.  Design work will be completed to ensure that the project is ready to move forward quickly when the time is right.

UBC Properties Trust has made a similar decision to pause the TEF 4 lease building project which is planned for development at the corner of Agronomy Road and Health Sciences Mall.

Brock Commons Phase 2 and TEF 4 are the only major projects that have been put on hold at this time. Other projects currently in design or construction (e.g. Pacific Residence, Arts Student Centre, MacLeod Renew, Water Pumping Station) will continue to move forward.

IN MEMORY OF LORRAINE BECKETT

It is with great sadness that we learned of the passing of our dear friend and colleague, Lorraine Beckett, last week. Lorraine dedicated over 25 years to UBC and will be greatly missed by all that had the opportunity to work with her.

To celebrate Lorraine and all of the memories that we have of her, the Clerical team would like to invite you to participate in a special tribute.  When on-campus, please take a minute to stop by Lorraine’s desk and share a special memory that you have of Lorraine on a post-it note, and attach your memory to Lorraine’s desk.  We will take photos of the “memory desk” that everyone contributes to, as well as collect all of the post-its and send these to Lorraine’s family.

Post-It notes will be placed at Lorraine’s desk, or please feel free to bring your own post-it note or card.

Details on a celebration of life or service for Lorraine will be passed along once a date has been confirmed by Lorraine’s family.
