Building Operations Weekly: May 5, 2020

WHAT IS THE STAFF ENGAGEMENT PLAN?

The Staff Engagement plan has been put in place to prepare Building Operations staff for when UBC goes live with Workday and Planon. Everyone at Building Operations will be using Workday for tasks like:

  • requesting vacation
  • checking vacation and sick time balances
  • checking paystubs
  • submitting expenses

Planon is UBC’s maintenance, asset, and inventory management software. Many Building Operations staff members will use Planon on a daily basis for:

  • completing service requests
  • updating asset information
  • ordering parts

As we get closer to Workday launch in November 2020, all Building Operations staff will be trained in Workday and Planon. By completing the following goals, we will be able get ready for training, including on-line shifts that may occur given our current situation. We will also complete required online UBC training so when we all get back to campus, we can focus on the work we do to support the UBC community.

Tech Basics Goals: 

Goal 1: Send an email to your manager from your UBC personal email (confirms staff know CWL and password and have set up multi-factor authentication)

Goal 2: Sign in to Canvas Learning Management System (staff can be enrolled in Canvas courses, including mandatory safety training, more info below) 

Goal 3: Sign up for LinkedIn Learning, and complete Learning Zoom by Garrick Chow (staff can join on-line Workday and Planon sessions) 

Training Goals:

Goal 4: Complete SRS Mandatory Training (staff need to complete mandatory training)

Goal 5: Complete Driver Training (mandatory requirement for all drivers) 

Goal 6: Complete Electrical Safety Training for Non-Electrical Worker (mandatory for some, useful information for all staff) 

About Goal 2: Signing up for Canvas

Canvas is UBC’s Learning Management System. This is a new platform which holds all of UBC’s mandatory and elective courses. When you complete training on Canvas, it is tracked for you.

Canvas will be integrated with Workday so that all your UBC training, including safety training, is tracked in one place. You will be able to check yourself to ensure that all your training is up to date.

All UBC staff members must log into Canvas at least once so that training administrators can add you to courses in future.

Good news! 

There’s more food options on campus available starting May 3.

We are re-opening the following locations for takeout in order to provide additional food options to the campus community:

  • May 1- 8 – Open Kitchen | lunch + dinner only
  • May 3 – Mercante | 4am – 10pm (Daily)
  • May 4 – The Point | 11am – 7pm (M-Sat)
  • May 4 – Tim Hortons Forestry | 7am – 4pm (M-F)
  • Harvest Market will continue to be open 8am – 7pm (Daily)

UBC FREE PARKING HAS BEEN EXTENDED TO AUGUST 31ST

UBC Parking and Access Services has extended free on-campus parking until August 31st 2020.  You need to purchase the free permit using your UBC parking account at  https://parking.ubc.ca/ . Permits need to be renewed on a month by month basis.  

UBC Parking will be reinstating hourly parking rates effective May 4. If you have a permit, there are no changes. You can continue to park for free in the locations your permit allows.


WEEKLY TIP: COVID-19 AND PRESCRIPTION REFILLS

COVID-19 and prescription refills

During the current COVID physical distancing measures, you may not be able to see your doctor to renew your prescriptions. The Provincial Health Officer announced on March 16th that patients will be able to obtain refills of their regular prescriptions at pharmacies in an effort to avoid non-essential physician visits.
