Custodial Night Shift Celebrates Time Loss Accident Free for 2018

A huge congratulations and applause goes out for our Custodial Night Shift Team, who has gone the entire 2018 year without a time loss accident/incident. The accomplishment is that much more impressive given that the Night Shift frequently uses heavy equipment and machinery to restore and maintain our floors on campus.

Thank you for your attention to working safely every day, and making a safe work environment a priority!

88th Congress of the Humanities and Social Sciences Coming to UBC in June

Hosted by different Canadian universities each year, the annual Congress of the Humanities and Social Sciences is being held here at UBC. Congress 2019 is the convergence of over 70 scholarly associations, each holding their annual conference under one umbrella. Now in its 88th year, this flagship event is much more than Canada’s largest gathering of scholars. Congress brings together academics, researchers, policy-makers, and practitioners to share findings, refine ideas, and build partnerships that will help shape the Canada of tomorrow.

Organized by the Federation for the Humanities and Social Sciences, we are expecting over 8,000 attendees for the duration of Congress which is scheduled from June 1 – June 7.

Here are the buildings that will be used for Congress. Please ensure that you plan any noisy or disruptive work before or after Congress.

Inventory Clean Up Underway as Weber Contract Expires August 31st 2019

As most of you are aware, our contract with Weber was extended and will expire on August 31, 2019. In preparation, Stores has been working hard with all of the trades to clean up our inventory. We have updated descriptions, added manufacturer and their part numbers, uploaded pictures when available, and reviewed the stocking levels. We have reviewed the Weber Contract and will be changing the way we receive inventory.

What does that mean? It means that we will be looking to have multiple suppliers based on the discipline and requirement. For example, we would have a primary supplier for plumbing supplies. This will be our primary based on general inventory requirements and the manufacturers/brands they support. Specialty or non-stock items not supported by this supplier can be sourced elsewhere.

Our schedule of tenders and estimated timelines are:

  1. Plumbing and Pipe Fitting Supplies – tender issued May 5 – implementation anticipated for July 2, 2019
  2. Electrical Supplies – tender issued May 17 – implementation anticipated for August 2019
  3. Building Supplies – tender issued June 5 – implementation anticipated for September 2019
  4. Custodial Supplies – tender issue July 5 – implementation anticipated for September 2019

How will you be engaged? We are working closely with your managers and trade heads to establish the requirements and expectations.  We will also be attending your crew talks to discuss trade specific issues and concerns.

What happens if our current Weber contract expires before we have a new supplier? We have strategically tiered our proposal calls in such a way that we can gradually implement new suppliers rather than all at once. This should help with the transition and ensure we will have supplies. However, if our current contract expires prior to all implementation, then we will place orders from where ever we need to in order to get materials and supplies. Our purchase orders are a form of contract and will be issued regardless of having a larger agreement with an organization.

Enhanced Campus Wide Login (CWL) Introduced Across the University For a More Secured Access

There’s a new step for logging into UBC applications. As part of the ongoing effort to enhance cybersecurity at UBC, the university will be introducing multi-factor authentication (MFA). All Building Operations staff must be signed up by the end of May 2019. The news step includes a second method of authentication when you use your CWL and password to log into UBC applications.

Why are we doing this?

It’s a UBC-wide initiative for:

  1. Increased Data Security – like when you sign into online banking
  2. New UBC-wide software system – WorkDay!

Who decided this?

UBC’s Chief Information Security Officer

How will it work?

  1. Decide which devices you want to sign up with, for example:
    • Personal cell phone
    • Token
    • Home phone
    • All of these
  2. Get signed up by visiting https://mfadevices.id.ubc.ca/ or get extra help
  3. When you log into certain programs such as UBC Parking, you will need to enter a second authentication.

Sign up at https://mfadevices.id.ubc.ca.

Need more information?

Stop by UBC Privacy Matters Pop-up, at the Earth Sciences Building in the main atrium from April 15-18.

Technicians will be on hand to answer questions you may have about the Enhanced CWL project, including:

  • How can I download and use the mobile app for authentication?
  • What are my authentication options when I’m travelling?
  • How can I obtain a hardware token?

Introducing Our New Member of the Team–Darcy Nickerson

After 3 years of searching, Building Operations was successful in fulfilling the outstanding Bricklayer/Mason role. Darcy Nickerson comes to us with varied experiences in the trade, working on commercial and private projects throughout his career.  Prior to commencing his employment with us, Darcy worked on the Exchange Residences Project at UBC.  What drew Darcy into the trade? His passion as an artist (see attached picture).  He feels that his work is a form of art and not 2 jobs are similar.  Whether it’s detailed stonework, laying brick or fixing pavers, the end result is a calculated creation.  Please welcome Darcy to Building Operations and the UBC community.
