PMFS Pause Status Fixed

The “Pause” status on PMFS has now been fixed. The carpentry shop reported that when jobs were paused at the end of the day, the timecard was not being updated. Instead, the technician had to manually add time against the time card. Once the job was actually completed in PMFS, the timecard was being updated in the past and the technician was having to fix previous days’ time. This is now fixed! 

Thanks to the carpenters for flagging this issue. Now, when you pause a job, your timecard is automatically populated. When you need to resume the job, just find it in your queue, and tap the blue wrench to change to the “Working” status again. 

Job Aids Updated

The EMMS functional team continues to update Planon Job Aids. Please be sure to always go to Canvas for the latest Job Aid. Visit the EMMS website “Using Planon” page for updates, tips & tricks, and links to Job Aids and training recordings.

2020 STAFF EXCELLENCE AWARDS NOMINATIONS HAVE CLOSED

Thank you to everyone who took the time to recognize a Building Operations staff member or team for their great work and contributions to our department and the university. Staff Award nominations for 2020 have now come to an end. 

We received 48 submissions this year and your Staff Award Committee is looking forward to reviewing all of the submissions and undertaking the difficult task of narrowing down the winners in each category for our 2020 Staff Awards. Award winners will be announced in mid-December 2020.

REMINDER: DAILY COVID-19 SELF ASSESSMENTS MUST BE COMPLETED & CONFIRMED WITH YOUR SUPERVISOR PRIOR TO WORKING ON CAMPUS

As part of WorkSafeBC requirement, Faculty, staff and contractors who are on campus are now required to directly confirm to a supervisor that they have completed a daily self-assessment for symptoms of COVID-19 on arrival at their workplace. Please use the BC self-assessment tool at https://bc.thrive.health/ to complete your self assessment prior to coming to work on campus. To make the daily assessment more convenient, you can download the BC COVID-19 app to your mobile device. 

A self-assessment verification sign-off will be required on a daily basis for each staff member working on campus.  Managers will provide details on the process for each crew or work area.

Anyone experiencing symptoms should follow the guidance provided in the self-assessment tool. Do not come into work if you are feeling ill or have COVID-19 related symptoms. According to the WHO, the common symptoms of COVID-19 are: 

  •  Fever 
  • Dry Cough 
  • Tiredness 
  • Loss of sense of taste/smell 
  • Sore throat

SERVICE REQUESTS AND WORK ORDERS IN THE REPORTED STATUS

A reminder that Service Requests and Work Orders in the “Reported” status are only for the Service Centre.  Please do not change the status of a “reported” SR or WO, or assign them. The Service Centre are responsible for ensuring correct billing details on SRs and WOs, and if you process these prior to the Service Centre it will mean that billing will not be allocated correctly, and clients may not be charged for billable services. If you’ve been assigned one by error, please let the Service Centre know for further investigation.

The “Reported” status is indicated on both the Service Request and the Work Order by the red asterisk. 


MACLEOD/ KAISER- STAIRWELL

Due to the ongoing Macleod renovation, the stairwell between Macleod and Kaiser will be closed off until May 2020. Access to Building Operations’ trades and custodial will be via the corridor through room 1120 to the mechanical room, elevator room and washrooms. The hoarding will remain in place until the end of May 2021. 


DEADLINE REMINDER: WORKING FROM HOME – COVID-19

The university is providing a one-time tax-free reimbursement of up to $400 for the purchase of certain equipment employees may have purchased, or need to purchase, in order to have a productive and ergonomically satisfactory remote working space.

Please be reminded that submissions need to be received by December 4. In order for the reimbursement to be tax-free the payment must be received by the employee by the end of calendar 2020 (per CRA requirements), and in order for Financial Operations to guarantee processing by calendar year end, submissions need to be received by December 4.

Some reminders:

  • Your claim can only be up to $400, even if the receipt value is greater.
  • The criteria for acceptable claims is on the UBC Finance website:

BRIGHT IDEAS: WE WANT TO HEAR FROM YOU!

We know the last few months have been filled with COVID-19 information and adapting to new changes, both in the workplace and at home and you may not have had time to present your Bright Ideas.  

Now that we are back in the workplace and adjusting to the new normal, it would be great to get your input on operational efficiencies as well as any new and fresh ideas you have to share with the department. A Bright Idea submission can also lead to winning one of our staff awards at the end of the year!

Getting ready to spend two weeks at home in isolation is an important part of ongoing pandemic preparations. The early stockpiling rush is over, and supply chains have adapted. The next time you are at the store, gradually pick up a few extra items to reach your preparedness goal.
