PLANON UPDATE

August has been a busy month for the EMMS team. Following the Planon Accelerator Workshops in July, where Planon demonstrated its out-of-the-box functionality, the EMMS functional team is working through the questions and parking lot items identified by stakeholders to assess Planon’s ability to meet UBC’s operational needs. This activity is known as fit-gap analysis. The results of this work will be used during the next phase called the Design Phase.

Concurrently, the Process & Outcomes Committee comprised of Building Operations, Energy & Water Services, and Chemistry Stores leaders are reviewing high level operational decisions which will inform Stream 1 planning. Remember, Planon will be implemented in two (2) streams, aligned with the Workday deployment in April 2020, and in the Fall of 2020. By the end of September 2019, the EMMS team will provide details on Stream 1 functionality for Go Live.

KICK OFF TO NEW PARTNERSHIP WITH ANDREW SHERET LIMITED

With the help of Andrew Sheret, Stores will be updating its catalog information and providing trades with a complete plumbing listing of all inventoried items.  We are also working at streamlining our ordering processes where possible.

We would like to kick off this new relationship with Andrew Sheret with a bang!

STORES SUCCESS STORY

Over the past few months the Stores team has diligently worked on improving descriptions, reviewing usage data against ordering practices, and cleaning up old orders sitting in the system.  What does this mean?  These directly affect how much product is on the shelf and available for use.

Since we began tracking, Stores has increased stock availability to 98% and we are seeing the results.  In the last two weeks, we have been able to fulfill the vast majority of all walk up requests.  A job well done!

What’s next?  With the change to our supply base, we will continue cleaning up descriptions and improving availability of parts with the goal of providing everyone with a complete catalog of what we carry.  We hope this will help in your daily workload planning as you can rely on Stores to have the parts available for you!

Customer Experience

STUDENT MOVE IN DAYS: SATURDAY AUGUST 24 AND AUGUST 31

It is that time of year again and Building Operations has been asked to help our Housing counterparts by vacating two parking lots to accommodate the students moving in days.

Move in dates are scheduled for this Saturday August 24 and Saturday August 31, 2019.

What does that mean to you?  For those who park UBC vehicles in Orchard Lot and Lot B4 need to park your vehicles in Lot C2 at the end of your shift on Friday August 23 and Friday August 30.

Building Operations wants your creative ideas to help us rename five of our meeting rooms in the USB from their current number to a name that better represents our Building Operations mission and strategic plan.

EMERGENCY PREPAREDNESS

WATER PATHWAY TEST EXERCISE WAS A SUCCESS

On Wednesday, August 14th Facilities crews from Energy and Water Services and Building Operations participated in an emergency preparedness exercise to test our ability to produce drinking water for the campus community.

We are happy to report that the test exercise was a success and we were able to collect water from two concrete in-creek cisterns in Botanical Gardens that we filtered using the water filtration trailer that is also located at Botanical Gardens. The filtered water was collected in a large bladder tank and a 1000 L of filtered water was transferred in to a cage tote so that the water could be distributed for consumption.  We transported the cage tote full of water to the USB loading dock and tested a tap stand to see if we could easily fill water bottles, which we were able to do.

A big thank you to Bob Khella, Chris Zorbakis, Mohammed Afshar, Roger Badesha, Sandy Hutchinson, Paul Trites, Roger Cerny, Cornell Weiss, Marc Gronberg, Jaspal Thiara, Richard Mitchell, Matt Shew, Mike Soriano, Jason Wright, Calvin Cheung, Francois Desmarais, Jeff Smith and Russell Neal for planning and executing this exercise.

Employee Engagement

SUPPORTING OUR STUDENTS AND CONNECTING WITH EACH OTHER: THUNDERBIRDS VS UNIVERSITY OF TOKYO 13 AUG 

On August 31, many of our Facilities employees along with several hundred UBC Faculty, Staff, and Students came out to support the Baseball game between our Thunderbirds and the Tokyo University. It was a warm summer evening where we not only enjoyed the game, which Thunderbirds won, but we enjoyed each other’s company.

TIP: Always keep the gas tank of your vehicle at least half full. During a disaster, gas stations may not be working for days.

CELEBRATING ONE OF OUR VERY OWN: ROBERT SOCHOWSKI PARTICIATING IN THE 2019 WORLD NATIONS DRAGON BOAT CHAMPIONSHIPS IN THAILAND

We would like to acknowledge and congratulate Rob Sochowski,  Maintenance Planning Manager, on his participation in the 2019 World Nations Dragon Boat Championships in Pattaya, Thailand.

Some words from Robert below:

“It is hard to believe that only two years ago I set a personal goal of earning a seat on the Canadian Senior B National Team for the 2019 14th World Nations Dragon Boat Championships in Pattaya, Thailand… I have 5 full days of racing. The 2 km, 1 km, 500 m, and 200 m races will all be streamed live.

Here are some facts about the upcoming competition:

  • 370 total Canadian athletes representing all divisions (U24, Premier, Senior A, Senior B, and Senior C)
  • 5 days of racing
  • 8,582 total medals for all of the divisions and races (20+ athletes on each crew)
  • 151 final races
  • 3,400+ athletes from around the world
  • 29 countries
  • 60 international race officials”
