UPDATE ON PRIVACY AND INFORMATION SECURITY

Congratulations to all those who completed the Privacy and Information Security Fundamentals training. You made Building Operations shine and UBC safer from a cyber security perspective.

Since there is a lot on the go just a quick recap on what Privacy and Information Security Fundamentals training was all about and why it’s so important:

Nearly every UBC faculty and staff member has access to confidential information, including personal and payment card data. As the loss or disclosure of this information could be very harmful, it’s important for you to know how to protect it.

Who should take the training?

Privacy and Information Security – Fundamentals training is a mandatory requirement for faculty, staff, researchers, student employees and contractors who use UBC Electronic Information and Systems.

Not sure if this applies to you?  If you work on a computer or mobile device you need to take the training. If you have other questions there are helpful FAQ’s on the following linkhttps://privacymatters.ubc.ca/fundamentals-training>

TIPS ON AVOIDING INSECT BITES AND STINGS

For those of us working outside, there are risks associated with common insects and arachnids. Bug bites and stings are more than just uncomfortable, they have the potential for infection and allergic reaction that can cause considerable harm.

Here are some tips to help you work safety around insects:

  1. Bees and wasps rarely sting unless they are aggravated.
  2. Wear light-coloured clothing, with long sleeves and pants. Tuck your top into your pants, and your pants into your boots or socks.
  3. Use insect repellent containing 20-30% DEET. However, this can be an attractant for bees and wasps so you will need to consider the area where you are working and whether there are likely to be bees and wasps.
  4. Avoid perfume, cologne or scented soaps if you are going into an area where there are likely to be bees and wasps.
  5. Stay calm if a bee lands on you. It will eventually leave of its own accord. If you don’t want to wait for it to leave, slowly and gently brush it away.
  6. If you are allergic to insect stings, you should inform your supervisor and indicate whether you carry an Epi-pen. This will allow your employer to provide assistance should you be stung while working.
  7. Take a shower as soon as possible after working outdoors.

48-HOUR INVESTIGATION REQUIREMENTS FOR ALL ACCIDENT/INCIDENTS

During the first 48 hours immediately after the occurrence of an incident or accident, all employers are required to conduct a preliminary investigation.

This 48 hour preliminary investigation requires:

  • The incident site is to be visited and the area made safe prior to any further work being conducted;
  • Identification and implementation of immediate corrective actions (includes those taken to provide first aid, contain/ remove the hazard and secure the scene);
  • The completion of a UBC CAIRS report documenting what occurred and the immediate corrective actions implemented.

Once the preliminary investigation is complete, a full investigation must follow to determine the root causes, and corrective actions to prevent reoccurrence. If additional corrective actions are identified (usually those that address the root causes), then those should be completed or have detailed timelines within 30 days of the incident’s occurrence. If none are identified, the preliminary investigation constitutes the full investigation.

In 2018, Building Operations achieved 80% compliance with the 48 hour preliminary investigation requirement. Overall Building Operations is up at 89% YTD in 2019. Kudos to Custodial for achieving 100% compliance within the first quarter of 2019.
