KUDOS TO CUSTODIAL CREW FOR MAINTAINING IRVING B. LEARNING CENTRE DURING THE EXAM PERIOD

Congratulation to the Custodial Services team who’s hard work maintaining the Irving K. Barber learning Centre clean during the exam period did not go unnoticed…

I wanted to send a belated thanks for how great the custodial team kept the building looking during 24/7 hours in IKBLC. In my 12 years of working here, this is the cleanest I remember the building being during the busy final exam season. 

Please pass my thanks and kudos on to your teams for their hard work–it is noticed and appreciated!

BIKE TO WORK WEEK IS MAY 27-JUNE 2

Sign up for Bike to Work Week!

Join a team or start a new one for your department to support healthy workplaces and sustainable transportation at UBC. Log your rides during Bike to Work Week for the chance to win great prizes (including new bikes, and even a cycling tour in Italy). Plus, help UBC defend its place as regional champion for Best Workplace 1000+ and Best in Higher Education!

Participating is free, quick and easy. 

  1. Register online with HUB (the sooner, the better)
  2. Choose your workplace – “University of British Columbia-UBC” – then join a team or create your own.
  3. Map your route to work.
  4. Log your route with HUB each day you ride

If you already registered in a previous Bike to Work Week, simply log in and log a trip to be considered a fall participant. Encourage your colleagues and friends to join your team! Logging trips is easy and will track your kilometres cycled, emissions saved and calories burned.

Asset Stewardship

CHEMISTRY NORTH – SEASONAL CHILLER SERVICE AND ASSET IMPROVEMENT

The chiller at Chemistry North serves sensitive lab equipment in the building.  A shutdown was planned to clean and backflush the chiller, clean the cooling tower and replace the condenser header.  The original condenser headers are made of mild steel, which have been now replaced with stainless steel. This falls within our Asset Stewardship pillar to proactively maintain and improve the life span of our assets.

Thank you to all involved — Shane Whittaker for the coordination, Steamfitters for the condenser header replacement, and Mechanical Maintenance and Mechanical Operations for cleaning the entire system. A special shout out goes to operating engineer Will Godbout and subhead Jeev Saini as they went above and beyond in getting the system refilled and back online ahead of the anticipated schedule.

 

EAD MIGRATION EVENTS BEGIN SOON

The EAD Migration and Shared Drive Clean Up project will be achieving a major milestone this month – we’re asking all users of the shared drive for their help in order to make it a success.

Why are we doing this?
To create a clean shared file space where we can share work efficiently – with less hunting or guessing where things are– so people have the right kind of access to files when they actually need it.

What’s the status of this project?
We’ve created a cleaned up shared drive and created new permissions to access the shared drive. Our next step will be to migrate all of our users and files from the LBS server to the EAD server.

When will this happen?
May 29th 2019 onward until  June  30th  2019

How will this happen?
We will migrate users and their folders to the new folder structure in phases we’re calling “Migration Events”.
The project team will engage with affected users before their migration event to ensure everyone is prepared when it’s their turn to migrate.

What can I expect to change?
We will provide more information on the changes as users migrate to the new folders. Key changes to keep in mind are:

  1. Our new folder structure will look somewhat different, as redundant areas not related to BOPS  (Mainly INFR/EWS) will no longer be visible
  2. Our new structure will have (in some cases) different naming conventions which are more reflective of the departments current configuration and functions performed.
  3. The way the permissions to these folders will be managed will change

We’ll share more information as we get closer to these dates. In the meantime, thank you to everyone for supporting this change, and making our share drive more efficient for all.

EMMS UPDATE: CURRENT STATE PROCESS MAPPING AND DESIGN PHASE WITH PLANON

The current state process mapping exercise is coming to an end. Final sign-off of the process maps is underway. Over 80 people have contributed to this significant piece of work. The outcomes will be shared with Planon to accelerate their understanding of UBC.

The next steps primarily involve the EMMS team and selected subject matter experts as we begin the design phase with Planon. For more information visit buildingoperations.ubc.ca and click on the EMMS project link.

UPDATE ON MAINTENANCE, REPAIR, AND OPERATIONS (MRO) CONTRACT — PREVIOUSLY WEBER

The Purchasing team continues to work on issuing the Request for Proposals (RFP) to solicit proposals for our maintenance and repair parts and supplies.  This process will result in several suppliers as we move away from the integrator distributor model we currently have with Weber.

The RFP for Plumbing and Pipe Fitting supplies was issued Friday, May 17, 2019.  Thank you to the plumbing trades for providing a comprehensive list of potential suppliers.  Supply Management will be emailing suppliers directly advising of where they can access our tender.

Next up is the Electrical Supplies RFP.  Darko and Marcus have provided some insight which is being incorporated into our Scope of Requirements.  We hope to finalize the RFP for issuance within two weeks’ time.  We will keep you posted on our progress.

In the meantime, we met with Mike and Kevin from the architectural team to start identifying the requirements for the Building Materials RFP.  Once we have a scope drafted, we will follow up with the architectural team for review and feedback.

NEW GUIDELINES AVAILABLE FOR THE USE OF PREFERRED NAMES FOR FACULTY AND STAFF

As part of UBC’s commitment to create a welcoming, inclusive and nondiscriminatory environment, Human Resources and the Equity & Inclusion Office have created guidelines regarding the use of preferred names for faculty and staff.

Whether for professional, personal or privacy reasons, a number of faculty and staff use names other than their legal names to identify themselves at the university. For trans and non-binary faculty and staff who are protected on the grounds of gender identity and gender expression in BC Human Rights legislation, the use of preferred names can be especially important to ensure safety and privacy. Addressing a person’s preferred name and gender has been recognized by human rights tribunals as best practice for non-discrimination.

These new guidelines provide you with background on the importance of preferred names, their use at the university, and the few legal limitations of using preferred names.
